Job Overview
We are seeking a Front Office Receptionist / Administrative Assistant to work with us at our office in Darmstadt. We are looking for an energetic, enthusiastic, and positive team player. You will be the first contact point for all visitors and clients, and make everyone feel welcome. You will ensure the office runs smoothly in a proactive manner and complete all administrative tasks in an accurate and timely way.

Key Responsibilities
- Provide Front Desk Reception service for the office, which includes handling of all phone calls in a pleasant and professional manner
- Welcome all visitors to the Company in a professional and pleasant manner
- Register incoming mail and ensure that the outgoing mail is dispatched daily
- Take care of the courier dispatches
- Order and manage consumables as well as office supplies
- Set up telephone conferences
- Assist in the general Office Administration
- Set up conference rooms with fresh products
- Administer joiners and leavers (i.e., Company access badges)
- Assist in organising the company's internal events
- Assist with any ad-hoc duties, projects, and activities, as required
Essential Skills and Qualifications
- Experience in an administrative/secretarial role or equivalent
- Friendly, welcoming, and service-oriented attitude towards visitors and colleagues
- Be a team player
- Organisational and time management skills
- Attention to detail and quality
- Good communication skills, both verbal and in writing
- Fluent in German and English (both verbal and written)
- Good knowledge of MS Office, particularly MS Word, Excel, and MS Outlook
- Good sense of humour
